Admin and Accounts Apprentice

 

  • Assist with general emails / queries / admin tasks
  • Answer the telephone and transfer calls to the relevant department / person
  • Open and distribute daily incoming post
  • Frank and post outgoing post
  • General filing, copying, scanning and archiving
  • Assist with posting batches of supplier invoices to the accounting system
  • Match staff expense claims to receipts and prepare analysis of costs
  • Post accounting journals to the accounting system
  • Send out customer invoices and statements
  • Bank customer cheques
  • Maintain customer contact spreadsheet
  • Assist with maintenance of customer credit control spreadsheet
  • Book travel arrangements for customers / visitors and staff (when required) including flights / hotels / taxis
  • Prepare visitor itineraries
  • Create Visa letters for staff
  • Request travel insurance letters
  • Log information on Demo Request Tracker and help prepare for demos
  • Ensure the kitchen is stocked with drinks and the coffee machine has enough capsules and sugar
  • Look after guests and visitors, provide refreshments for meetings
  • Arrange buffet lunches
  • Ensure all brochures are stocked
  • Ensure reception area is tidy and the customer name is on the TV
  • Deal with stationery requests
  • Keep stock of stationery
  • Keep the loft space and stationery cupboard organised
  • Order staff items or equipment when required
  • Record mileage and fuel from staff mileage books
  • Maintain Shell fuel receipt records
  • Manage the M6 Toll account, order new tags or update details when required
  • Maintain company car information
  • Book company car services/repairs
  • Keep staff details/folders up to date
  • Maintain staff telephone extension list
  • Keep up to date staff contact lists
  • Arrange cards / gifts for birthdays
  • Monitor staff overtime
  • Maintain staff holiday and sickness spreadsheets
  • Deal with staff uniform requests
  • Keep track and log all uniform in stock and issued to employees
  • Complete New Starter Checklists (set up new starter on all systems)
  • Order staff equipment i.e. iPad / iPhone / Laptop
  • Send out health and safety weekly notices
  • Assist Darran Goodwin with ISO and Health and Safety
  • Monitor manufacturing documents in customer files
  • Manage Go Formz for new installations
  • Complete installation checklists
  • Track customer press signs off
  • Create new accounts in Salesforce
  • Update warranty and press sign off dates
  • Update install and training dates
  • Chase work orders not received
  • Send out copies of work orders upon request
  • Manage Go Formz account
  • Add new users
  • Assist with general queries
  • Track all Go Formz
